It is standard practice for a congress to
start with an opening ceremony, after which the programme
is divided into the plenary sessions and parallel sessions.
As for the working language of the congress, its choice is
up to the association, but the organisers usually arrange
for simultaneous interpretation throughout the event.
The PCO usually employs hostesses that are at hand to assist
the delegates, help them find their way to and fro individual
conference halls and make sure that everything runs as smoothly
as possible. The quality of this staff is extremely important
for the success of any congress. If no PCO is used, it is
up to the National Organising Committee to hire such staff
from a PCO or use the services of an agency recommended by
the operator of the congress venue.
All congress venues have to be suitably and adequately signposted,
so that the delegates can easily find their way around.
The delegates will require catering services (coffee, tea,
light refreshments during each break, lunch), the conference
halls have to be furnished with the required technical equipment
(including audiovisual equipment reflecting the needs of the
speakers and the audience) operated by qualified support staff.
Furthermore, the organisers have to arrange for a security
service and for medical staff to be at hand in order to deal
with any emergencies. Last but not least, the organisers need
to arrange for insurance, providing adequate cover in case
of any problems related to the event´s organisation
or even its cancellation.
